Privacy Notice for People Exploring the ARC Network

Who this notice is for

This notice applies when you are not yet a member of the ARC Network and you:

• complete an ARC interest form;
• ask to speak with someone from ARC;
• take part in a discernment conversation;
• ask to hear about future ARC trainings or offerings; or
• otherwise share information with us while exploring a relationship with ARC.

If you later enter an ARC training or join the network, an additional notice or agreement may apply to information used in that context.

Who is responsible for your information

The ARC Network is responsible for the personal information described in this notice.

What we collect

We may collect:

• your name and email address;
• how you heard about ARC and what you are interested in;
• your timezone, availability, and languages;
• information you choose to share about your background, practice, training, aspirations, or circumstances;
• emails, messages, scheduling information, and notes from discernment conversations;
• the outcome and current stage of your discernment with ARC; and
• limited technical information connected with a form submission, such as the referring page, campaign tags, form version, and submission date.

If we would like to record a conversation, we will tell you first and ask for your agreement.

Open-ended answers or conversations may reveal sensitive information, including information about your health or religious or philosophical beliefs. Please share only what you are comfortable sharing. We limit access to this information and use it only for the purposes described here. Where required, we will ask for explicit agreement before using sensitive information.

How we use your information

We use it to:

• respond to you and arrange conversations;
• understand what you are looking for and whether an ARC training, pathway, or relationship may be appropriate;
• support a mutual discernment process and keep a reliable record of it;
• form cohorts and plan accessible meeting times;
• maintain continuity if you return to ARC later;
• protect the integrity and safety of ARC and the people in relationship with it; and
• send occasional updates about ARC trainings or offerings when you have asked to receive them.

We will never sell your personal information or share it with advertisers.

Our basis for using it

Where UK or European Economic Area data-protection law applies, our lawful bases are:

• taking steps you have requested toward a possible training or participation relationship;
• ARC's legitimate interests in responding to inquiries, managing discernment, maintaining continuity, and safeguarding the network;
• your consent for a particular use, such as receiving occasional updates or using sensitive information where consent is required; and
• compliance with legal obligations.

You can withdraw consent at any time. This does not affect uses that were lawful before you withdrew it or uses based on another lawful basis.

Email updates

We may contact you directly about an inquiry, conversation, training, or pathway you requested. We send broader updates about ARC trainings and offerings only when you have asked to stay connected. You can unsubscribe from those updates at any time, and we will stop using your information for that purpose. Unsubscribing will not affect a separate discernment conversation.

Where your information is held and who can access it

Your ARC relationship record is held in our Notion-based people system. Relevant information may also be held in the services we use for forms, email delivery, calendars, messaging, and video calls.

Access inside ARC is limited to the small number of people who need it to respond to you, support discernment, operate the system, or address safeguarding concerns. The companies providing our tools may also process information as needed to provide those services.

How we use AI-assisted tools

We may use AI-assisted tools to help organize information, transcribe or summarize a conversation, and draft communications. People at ARC review this work and remain responsible for it. We do not rely on AI alone to decide whether someone may take part in an ARC training or join the network.

How long we keep your information

We keep your information while you are in conversation with ARC, have asked to stay connected, or while we reasonably need a limited record to maintain continuity, preserve a discernment or safeguarding decision, respond to a complaint, or meet a legal obligation.

If you enter a training or become a member, the retention arrangements for that relationship will be explained separately.

Your choices and rights

You can ask us to:

• tell you what personal information we hold about you;
• correct information that is inaccurate or incomplete;
• provide you with a copy of your information;
• stop using your information for a particular purpose;
• restrict or object to certain uses; or
• delete your information.

These rights may depend on where you live, the information involved, and our reason for using it. We may need to retain limited information where the law permits or requires us to do so. We will explain this if it applies to your request.

You can make a request by emailing admin@arcnetwork.is. We may ask for enough information to confirm that the request comes from you.

Changes to this notice

We may update this notice as ARC's practices develop. If we plan to use your information for a materially different purpose, we will tell you before that new use begins.
